Check-In/Check-Out

Normal Check-In time is between 2:00 pm – 6:00 pm daily. Should you require an arrival time outside these hours, please contact us in advance and we will strive to meet your needs. We are unable to accept arrivals later than 9:00 pm each evening. Arrivals after 8:00 pm may incur a late check-in fee. Check-Out time is 11:00 am, unless otherwise specified.  Late checkout may be arranged, subject to availability with prior notice for a fee of $25 per hour.

 

Deposit, Payment & Cancellation Policy

 

Because of our small size, cancellations have a significant impact on our business.

We appreciate your understanding of the following policies.

 

DEPOSITS & FINAL PAYMENT

A deposit is required at the time of booking to secure your reservation. All deposits are NON-REFUNDABLE.

 

The remaining balance for your stay will be automatically charged to the credit card on file 7 days prior to your scheduled arrival date.

 

CANCELLATION & RESCHEDULING POLICY

While deposits are non-refundable, we understand that plans can change.

If written notice of cancellation is received:

• At least 14 days prior to arrival for a single-room reservation, or

• At least 20 days prior to arrival for a multiple-room reservation

 

Your deposit (minus a cancellation fee) may be applied toward a future stay under the following conditions:

• $50 cancellation fee for a single-room reservation

• $100 cancellation fee per room for multiple-room reservations

• New stay dates must be scheduled within 3 months of the original arrival date

• The new reservation must be made at the time of cancellation

• Reservations may only be rescheduled once and become non-refundable after rescheduling

• Promotional or discount codes from the original reservation are not transferable to the new stay

 

LATE CANCELLATIONS & NO-SHOWS

Cancellations made less than 14 days prior to arrival (single room) or less than 20 days prior to arrival (multiple rooms) will be charged the full remaining balance of the reservation.

 

 

Guests who do not arrive for their reservation (“no-shows”) will be charged 100% of the total reservation cost.

 

Promotion Codes

When promotional codes (discounts) are offered, codes MUST be entered or requested at the time of booking. Reservations completed online without entering the required promotion code at checkout will be charged at the current daily room rates, as agreed to in our policies during check-out. Promotional codes and discounts are not valid for existing or group reservations. We regret we are unable to make adjustments or provide considerations to reservations after the booking is completed. 

 

Inclement Weather

With our mountainous location, Winter Weather can be beautiful, but also can cause hazardous driving conditions for our guests. Our first concern is for the safety of our guests. If the National Weather Service issues a Winter Storm Warning for Hardy County, WV within 24 hours of your scheduled stay, we will reschedule your stay for a later date within 3 months of your original stay, subject to availability. Other winter weather travel conditions are subject to review and follow our standard booking policies.

 

Alcohol

The Guesthouse is a West Virginia State Licensed Liquor Facility, so we cannot allow outside alcoholic beverages to be consumed poolside or in any public spaces. Beer, wine and cocktails also can be purchased in the bar during normal operating hours and taken to any of the public spaces. 

 

Children

The Guesthouse is located on a lovely hillside in the Lost River Valley. Public spaces are furnished with antiques and artwork and the grounds contain many stairs and other potential hazards. For this reason we are unable to accept children under the age of 18. We greatly appreciate your understanding.

 

Seasonal Outdoor Pool/Spa Policies 

POOL RULES AND REGULATIONS

 

1.    Registered Overnight Guests: Pool Hours: 9am-10pm

2.    Non Registered Guests Pool Hours: Friday 1pm - 6pm, Saturday 11am - 6pm or when otherwise designated

3.    Swimming is prohibited when the pool is closed.

4.    No Diving is allowed.

5.    No running, pushing, shoving, or horseplay allowed in pool area.

6.    No floatation devices, tubes, or mattresses allowed in pool area.

7.    No glassware allowed in pool area.

8.    No animals allowed in pool area.

9.    No outside alcohol or food allowed in the pool area.

10.  No water bottles of any kind are permitted.

11.  Smoking in the designated areas only.

 

POOL RULES AND REGULATIONS (NON-REGISTERED GUESTS ONLY)

  • Non-overnight guests are invited to access our outdoor swimming pool at the following times from Memorial Day to Labor Day : 
    • Fridays from 1pm-6pm 
    • Saturdays from 11am -6pm 
    • Sundays - we only offer access on Select Sundays and holiday weekends, then 11am-6pm
  • Pool access for guests not staying overnight is $15 per person, paid upon arrival.
  • Pool access hours are subject to change without notice.
  • There is a food & beverage minimum purchase of $25 per person, secured by a credit card.  
  • We reserve the right to limit the amount of non-overnight guests permitted pool access.
  • Our indoor amenities, including our Enclave spa area are limited to registered overnight guests only.
  • All guests must comply with management requests.

 

All poolside Lounge chairs are reserved for registered overnight guests use only, we do offer some additional seating around the pool and adjacent patios that you may use while swimming. Our overnight guests receive preference for all seating.  We do not provide towel service.

 

All guests must be 21 or older, we do not permit any outside food, beverage or containers of any kind including any type of water bottles. If you have any questions, please feel free to call us at 304-897-5707, we look forward to having you visit with us.

 

All non-registered guests accessing our swimming pool must sign-in at the front desk, pay pool fees and agree to our policies before accessing the pool area. All Pool Passes must be returned to the Front Desk when leaving the property. Pool passes may not be purchased in advance.

 

We reserve the right to adjust these guidelines/ regulations without notice.

 

 

Pets

We welcome guests’ quiet, well-behaved dogs in the Hobson Cabin Garden Level and the Tower room. An extra fee of $35.00 will be added per pet in each of these rooms. We limit the number of dogs to 2 in each of our pet-friendly rooms. To ensure other guests’ safety and comfort, dogs are not allowed in any of our indoor common areas, outdoor dining areas, or by the pool. All dogs must be housebroken, properly vaccinated, and of a friendly temperament. Please bring a crate for your dog; as we request your dog be crated if left unattended. Please help keep our yard clean for everyone. For your pet's safety and the safety of our other guests, pets must remain on a leash while on the property and outside of your guest room, this includes during check-in. Any damage to furnishings or property will result in related charges for repair or replacement of furnishings and finishes.

 

Privacy Policy

We keep your personal information private and secure. When you make a reservation from our site, you provide your name, email address, credit card information, address, and phone number. We use this information to process your reservation, to keep you updated on your reservation and to personalize your Guesthouse experience.
